1. INTRODUCTION
- Over Time is a common widget available on the home screen for every Panoply User account. Basically this widget is used to capture over time working hours and also allow managers to approve the submitted OTs.
2. OVER TIME CAPTURE
- Over Time capture is based on Departments like Sales, Service, P&L etc. These Departments will be fetched by the system based on the user profile added in Employee Master.
2.1 Over Time Capture for Department: Sales
- User has to click on the ‘+’ icon to add a new line item
- Enter the valid lead id worked on and then click “Verify” and select the lead id
- Click “Continue with creation” if the valid lead is selected. Else click “Cancel this Process” and enter a valid lead id.
- Select the OT date by clicking on the calendar icon.
- If the OT is worked on a weekend tick the check box and enter the hours.
- Remarks is optional
- Click on submit
- Submitted OT moves to Approver (reporting manager) and status will be “Request”.
- User can delete the records in “Request” status by selecting the line item and click delete icon
2.2 Over Time Capture for Department: Service/PSG
- User has to click on the ‘+’ icon to add a new line item
- Enter the valid SRID/PSG request ID worked on
- Click “Verify” and select the respective SRID/PSG request ID
- Click “Continue with creation” if the valid ID is selected. Else click “Cancel this Process” and enter a valid SRID/PSG request ID.
- Select the OT date by clicking on the calendar icon.
- If the OT is worked on a weekend tick the check box
- Enter Start time and End time (make sure start time is greater than end time), based on start and end time hours is calculated
- Remarks is optional
- Click on submit
- Submitted OT moves to Approver (reporting manager) and status will be “Request”.
- User can delete the records in “Request” status by selecting the line item and click delete icon
2.3 Over Time Capture for Department: P&L
- User has to click on the ‘+’ icon to add a new line item
- Enter the valid Order Number worked on àclick “Verify” and select the respective Order Number àclick “Continue with creation” if the valid Order Number is selected. Else click “Cancel this Process” and enter a valid Order Number
- Select the OT date by clicking on the calendar icon.
- If the OT is worked on a weekend tick the check box
- Enter the worked hours
- Remarks is optional
- Click on submit
- Submitted OT moves to Approver (reporting manager) and status will be “Request”.
- User can delete the records in “Request” status by selecting the line item and click delete icon
2.4 Over Time capture for other Departments: Accounts/Projects/others
- User has to click on the ‘+’ icon to add a new line item
- Select the OT date by clicking on the calendar icon.
- If the OT is worked on a weekend tick the check box
- Enter the worked hours
- Remarks is optional
- Click on submit
- Submitted OT moves to Approver (reporting manager) and status will be “Request”.
- User can delete the records in “Request” status by selecting the line item and click delete icon
3. OVER TIME Approval
- The OT Approver screen is available under the same common widget (Over Time) on the Home screen and is accessible with privilege “prvOverTimeApprover”
- Submitted OT records by the employees are approved by their Reporting Manager ( from employee master) who have the above privilege assigned. Managers can Approve/Reject submitted OTs
3.1 Approve/Reject
- On Approval the approved records moves to settlement screen with status “MgrApproved”
- On Rejection it moves back to Submitted person with status “MgrRejected”

4. OVER TIME Settlement
Approved OTs are settled by the Finance team. Privilege “prvOverTimeSettlement” is needed for settlement screen access. OT settlement screen is available under Finance menu. Finance person can settle/reject the approved OTs
4.1 Settle/Reject
- On settlement the OT records are moved to “Settled” Status.
- On Rejection by Finance person the approved OT moves back to submitted person with status “AcnRejected”

5.General Features in OT Screen:
- User can add/delete/search the records
- By default only records in Request/rejected status will be visible for capture screen
- Any other status like settled/approved records can be fetched using the search option.
- Search filters are as below:
- OT Approver/Settler can enter their comments (Optional) in the comments section as below.
- History tab: user can click on “View history” to see the latest comments/modifications by the OT approver/settler.
